    Sharing Assets & Tasks

    Share creative assets, boards, and tasks with teammates and external stakeholders using privacy controls and public links in Wonderful.

    On This Page

    Wonderful gives you precise control over who can see your creative work. By default, everything is private to your workspace. You can open access for specific assets, tasks, or boards — for teammates, clients, or the public — without compromising the rest of your workspace.

    Privacy Levels

    Every asset, task, and board has one of three privacy states:

    Workspace (Default)

    Only members of your workspace can view the item. This is the default for everything created in Wonderful.

    Use this for: all internal work in progress, sensitive client assets, anything that shouldn't leave your organization.

    Public Review

    Anyone with the link can view the item and leave comments after signing in with a Wonderful account (free). They cannot access any other part of your workspace.

    Use this for: sharing work-in-progress with clients for feedback, external creative partners, stakeholders who aren't in the workspace.

    Public View

    Anyone with the link can view the item without signing in. No comment access.

    Use this for: presenting approved creative to external parties, sharing portfolio work, sending a link to a client meeting.


    Generating a Public Link

    1. Open the asset, task, or board you want to share
    2. Click the Share button in the header or actions menu
    3. Choose the privacy level (Public Review or Public View)
    4. Copy the generated link and share it

    Public links are unique, secure URLs. They can be disabled at any time.

    Disabling a Link

    1. Open the item's Share settings
    2. Toggle the public link off (or set privacy back to Workspace)
    3. The link immediately stops working

    External reviewers using Public Review links are clearly marked in comments as external contributors.


    Space and Workspace-Level Sharing

    Inviting Space Members

    For ongoing collaboration, add people to your workspace and assign them to specific spaces. They get full space member access rather than just a shared link.

    Space Privacy

    Spaces have a visibility setting:

    • Private — Only invited members can see the space exists
    • Workspace — All workspace members can discover and join the space

    Agencies should keep client spaces Private for confidentiality.


    Access Feedback in the UI

    Wonderful clearly communicates what you can and can't do based on your access level:

    • Buttons you don't have permission to use are disabled with a tooltip explaining why
    • A permission banner appears at the top of shared views, showing your access level
    • External reviewers see a simplified interface — only the sharing and commenting tools

    Frequently Asked Questions

    Can I share a whole board instead of individual assets?

    Yes. Boards support the same three privacy levels as individual assets. Share a board to give access to everything in it at once.

    Does a client need a Wonderful account to leave feedback?

    Yes, for Public Review — they'll need to create a free account. For Public View, no account is required.

    Can I see who has viewed a shared link?

    Yes. View activity is logged. Open the task or asset's activity log to see when it was accessed via a public link and (if signed in) by whom.

    Can I share an asset with specific people only (not a public link)?

    Currently, granular per-person sharing for external parties works via the Public Review link — anyone with the link can access it. Per-email invitations for external reviewers are on the roadmap.

    What happens if I share a task and the assets in it are updated?

    Shared tasks are live — the link always reflects the current state. If new assets are added or versions are updated, the reviewer sees the latest version the next time they open the link.

    Can I add an expiry date to a share link?

    Not currently. You can disable the link manually at any time.
