    Asset Library

The Asset Library is Wonderful's central hub for all creative files — search, organize, version, and reuse assets across every task and campaign.

    On This Page

The Asset Library is where all of your team's creative files live — images, videos, documents, design files, and anything else your team produces. Assets uploaded anywhere in Wonderful (to a task, from an integration, or directly) automatically appear in the Library.

    What the Asset Library Does

    • Central storage — One place for every creative file, searchable across all tasks and campaigns
    • Version control — Every file version is retained; you can navigate history and revert
    • Cross-task linking — The same asset can appear in multiple tasks and boards without duplicating the file
    • Smart search — Find assets by filename, tag, type, uploader, space, or AI-extracted metadata
    • Permission control — Workspace and space roles determine who can view, edit, or download

    Browsing the Library

    Grid and List Views

    Switch between:

    • Grid — Thumbnail view, best for visual browsing of images and videos
    • List — Compact view with metadata columns, better for large libraries

    Filtering

    Filter assets by:

    FilterOptions
File typeImage, video, document, design file
    SpaceFilter to a specific brand/client
UploaderSee assets from a specific person
Upload dateThis week, this month, custom range
    StatusReady, In Progress, Needs Revision
    TagsAny tags applied to assets

    Smart filters for quick access:

    • "Recently uploaded"
    • "Used in active ads"
    • "Needs review"
    • "Has unresolved comments"

    Uploading Assets

    Direct Upload

    • Drag and drop files anywhere in the Library or onto a task's Assets tab
    • Upload button — click to open a file picker
    • Any standard file format is supported — images (JPG, PNG, GIF, WebP), video (MP4, MOV), documents (PDF), design files (Figma exports, AI, PSD), fonts, and more
    • No file size limit

    From Integrations

Paste a link from any connected integration and Wonderful fetches the file:

    • Figma — frames, components, exports
    • Frame.io — video files and review assets
    • Google Drive — documents, images, any Drive-hosted file

The file is downloaded and stored in Wonderful's asset library. The original link is preserved as metadata.

    Automatic Processing

When an asset is uploaded, Wonderful automatically:

    • Extracts file dimensions and aspect ratio
    • Generates a thumbnail (for videos)
    • Detects duplicates by content hash — duplicate files are merged under the same asset record
    • Groups assets with similar filenames and matching aspect ratios into groups

    Asset Detail View

Click any asset to open its detail view:

    • Preview — Full-resolution image viewer, video player, or document preview
    • Metadata — Filename, dimensions, file size, format, upload date, uploader
    • Version history — All versions of this asset, navigable
    • Comments — All feedback threads, linked to specific versions
    • Linked tasks — Tasks and boards where this asset appears
    • Actions — Download, duplicate, generate a share link, upload new version

    Version Control

Every upload of a new version of an asset is tracked automatically:

    1. Open an asset's detail view
    2. Click Upload New Version
    3. Select the revised file

The new version becomes current. Previous versions are preserved in history. All comments stay linked to the version they were made on.

Designating a Final version: Mark any version as Final to signal it's approved for ads. Wonderful uses the Final version when publishing to Meta.

    Search

Type any query into the search bar to search across:

    • Asset filenames and titles
    • Tags
    • Uploader names
    • Linked task names

AI-powered visual search lets you search by content — e.g., "outdoor lifestyle footage" or "assets with people in them" — using AI to understand the actual visual content of your files.

    Organization and Boards

Assets can be organized into boards — visual collections that act like folders, but better:

    • An asset can appear in multiple boards without duplication
    • Boards can be nested (boards within boards)
    • Boards are shareable separately from the full library

→ See Asset Organization for how to structure your library.

    Permissions

Asset permissions follow workspace and space roles:

    RoleCan viewCan downloadCan edit/tagCan delete
    Workspace Admin✅✅✅✅
    Space Admin✅ (space assets)✅✅✅
    Space Member✅ (space assets)✅✅❌
    Space Viewer✅ (space assets)✅❌❌

Public share links bypass role-based permissions for the specific shared asset or task.

    Frequently Asked Questions

    Is there a storage limit?

Contact support@usewonderful.com for storage details specific to your workspace.

    Can I bulk upload assets?

Yes. Select multiple files in your file picker or drag multiple files at once. They upload in parallel.

    Are files ever automatically deleted?

No. Wonderful does not auto-delete files. Assets can be archived manually by space admins, but they remain recoverable.

What happens to assets when I delete a task?

Assets uploaded to a task are stored independently in the Library. Deleting or archiving a task doesn't delete its assets — they remain in the Library and can be reused.

Can I search inside video files?

AI-powered visual search understands image and video content, so you can search by what's in a video rather than just the filename or tags.

    How does duplicate detection work?

Wonderful computes a content hash (checksum) of each uploaded file. If the same file content is uploaded again, it's merged under the existing asset record as a new reference, rather than creating a separate duplicate. This prevents library bloat.

Can I organize assets into folders?

Yes, via boards. Boards function like smart folders — assets can appear in multiple boards simultaneously, and boards can be nested. Unlike traditional folders, an asset isn't "in" one folder; it's referenced wherever it's needed.
